Terms of Service
These Terms of Service ("Terms") govern the use of the BIKEFLEET platform (the "Service") provided by Systemity AB ("Systemity", "BIKEFLEET", "we", "us", or "our").

By creating an Account or using the Service, you agree to be legally bound by these Terms. If you do not agree to these Terms, you must not use the Service.
1. Definitions
Account A registered user account providing access to the Service.
Asset / System A physical or digital item registered within the Service, including vehicles or other managed assets.
Asset Data All non-personal data related to an Asset or System, including but not limited to specifications, configurations, maintenance records, usage data, images, documents, and historical records associated with an Asset or System.
Anonymised Data Data that cannot reasonably be used to identify an individual, directly or indirectly.
Aggregated Data Data combined from multiple sources.
Vehicle A motor vehicle registered within the Service.
User Data Any personally identifiable information relating to an identified or identifiable individual, including but not limited to name, contact details, account credentials, and other information that can be directly linked to a specific individual.
Service The BIKEFLEET platform including mobile applications, web interfaces, databases, and related services.
Business User A legal entity using the Service for commercial purposes.
Personal User An individual using the Service for private purposes.
2. Acceptance of Terms
By accessing or using the Service, you confirm that:
- you have read and understood these Terms
- you agree to be bound by these Terms
- you have the legal capacity to enter into a binding agreement.
If you create an Account on behalf of an organization, you represent that you are authorized to bind that entity to these Terms.
3. Eligibility
You must be at least 16 years of age to use the Service.
By using the Service, you represent that your use complies with all applicable laws and regulations.
4. Description of the Service
BIKEFLEET provides a digital platform for managing information related to assets. The Service may include features such as:
- registering Assets or Vehicles
- storing technical specifications
- recording maintenance logs
- uploading documents and photographs
- tracking warranties
- organizing Asset-related information.
BIKEFLEET acts as an administrative tool for organizing and structuring Asset Data within the Service.
Asset Data stored within the Service forms part of the structured dataset of the platform and may be processed, aggregated, and used to operate, maintain, and improve the Service.
The Service does not provide mechanical advice, repair guidance, or professional maintenance recommendations.
Asset Data may persist independently of user Accounts to support Asset lifecycle tracking, historical continuity, and platform functionality.
5. Account Registration
To access certain features of the Service, users must create an Account. Users agree to:
- provide accurate information
- maintain the confidentiality of account credentials
- promptly update account information when necessary.
Users are responsible for all activities occurring under their Account.
6. User Data and Ownership
Users retain ownership of all User Data they upload to the Service.
By submitting User Data, users grant BIKEFLEET a non-exclusive, worldwide, royalty-free license to store, process, and display such data solely for the purpose of operating and improving the Service.
Asset Data does not constitute personal data and forms part of the structured dataset within the Service. By submitting or creating Asset Data, users grant BIKEFLEET a perpetual, non-exclusive, worldwide, royalty-free license to store, process, analyse, and display such data for the purpose of operating, maintaining, improving, and developing the Service.
BIKEFLEET does not sell personal User Data.
Users acknowledge that Asset Data may be retained, anonymised, aggregated, and used for research, analytics, and product development purposes, even after account deletion, provided that it cannot reasonably be linked to an identifiable individual.
Users are responsible for the legality and accuracy of any User Data and Asset Data they upload.
To the extent that any Asset Data is considered personal data under applicable law, it will be treated as User Data.
BIKEFLEET will implement reasonable measures to prevent re-identification of Anonymised Data.
7. Delegated Access
The Service may allow users to grant access to their Asset records to third parties, such as technicians, workshops, or collaborators.
Users are responsible for managing such permissions.
Granting access to Asset Data or User Data does not transfer ownership rights.
BIKEFLEET is not responsible for actions taken by third parties who have been granted access by a user.
8. Third-Party Data Sources
The Service may display information obtained from third-party data providers, including:
- Vehicle specifications
- technical data
- manufacturer information
- equipment lists.
Such information may be incomplete, outdated, or inaccurate. BIKEFLEET does not guarantee the accuracy or completeness of third-party data. Users are responsible for independently verifying such information before relying on it.
Third-party data, when combined with Asset Data, forms part of the Service dataset and is subject to the same usage rights granted to BIKEFLEET under these Terms.
9. User Responsibilities
Users are responsible for:
- maintaining the accuracy of any User Data they enter
- maintaining the accuracy of any Asset Data they enter
- verifying technical and maintenance information
- complying with applicable laws relating to asset ownership and operation.
Users must not misuse the Service or interfere with its operation. Detailed usage rules are described in the BIKEFLEET Acceptable Use Policy.
10. No Professional Advice
The Service is provided as an administrative tool for organizing asset information. BIKEFLEET does not provide:
- mechanical advice
- repair instructions
- maintenance recommendations
- engineering guidance
- safety certifications.
Information stored within the Service must not be interpreted as professional advice. Users remain solely responsible for all decisions relating to the maintenance, repair, operation, and safety of their Assets. Users should consult qualified professionals when appropriate.
11. Intellectual Property
All intellectual property rights relating to the Service remain the property of BIKEFLEET or its licensors.
Users are granted a limited, non-exclusive, non-transferable license to use the Service in accordance with these Terms. Users may not copy, modify, distribute, or reverse engineer the Service except where permitted by law.
12. Subscriptions and Payments
Certain features of the Service may require payment. If paid subscriptions are offered:
- subscriptions may renew automatically
- fees will be charged according to the selected plan
- users may cancel subscriptions according to the terms presented during purchase.
Additional payment terms may apply to specific services.
13. Third-Party Services
The Service may enable interactions between users and third-party service providers. BIKEFLEET acts solely as a technology platform and is not a party to agreements between users and third-party providers.
BIKEFLEET is not responsible for:
- services performed by third parties
- agreements between users and service providers
- disputes between users and service providers.
Where BIKEFLEET facilitates interactions or transactions between users and third parties, it acts solely as an intermediary platform unless explicitly stated otherwise.
14. Limitation of Liability
To the maximum extent permitted by law, BIKEFLEET shall not be liable for:
- indirect or consequential damages
- loss of profits, business opportunities, or data
- damages resulting from reliance on information contained within the Service.
The Service is provided on an "as-is" and "as-available" basis. BIKEFLEET does not guarantee that the Service will be uninterrupted, error-free, or suitable for a particular purpose.
BIKEFLEET's total liability arising out of the Service shall not exceed the greater of:
- the amount paid by the user during the preceding twelve (12) months, or
- EUR 100.
Nothing in these Terms limits liability that cannot be excluded under applicable law.
15. Indemnification
Users agree to indemnify and hold harmless BIKEFLEET and its affiliates from claims arising from:
- misuse of the Service
- violation of these Terms
- disputes with third-party service providers
- unlawful or infringing content uploaded by the user.
16. Termination
Users may terminate their Account at any time.
Upon termination of an Account:
- User Data will be deleted or anonymised in accordance with applicable law
- Asset Data may be retained in anonymised or aggregated form as part of the Service dataset.
BIKEFLEET may suspend or terminate Accounts that:
- violate these Terms
- misuse the Service
- pose risks to the platform or other users.
17. Changes to the Service
BIKEFLEET may modify, update, or discontinue features of the Service at any time. BIKEFLEET will make reasonable efforts to notify users of significant changes.
18. Changes to These Terms
BIKEFLEET may update these Terms from time to time. Updated Terms will be published within the Service. Continued use of the Service after changes constitutes acceptance of the updated Terms.
19. Governing Law and Dispute Resolution
These Terms shall be governed by the laws of Sweden, excluding its conflict-of-law rules.
Any dispute arising from these Terms shall be finally resolved by arbitration administered by the Stockholm Chamber of Commerce (SCC). The arbitration shall take place in Stockholm, Sweden. The language of arbitration shall be English.
Acceptable Use Policy
This Acceptable Use Policy ("Policy") governs the use of the BIKEFLEET platform (the "Service") operated by Systemity AB ("Systemity", "BIKEFLEET", "we", "us", or "our").
This Policy forms part of the BIKEFLEET Terms of Service. By using the Service, you agree to comply with this Policy.
1. Purpose of the Policy
The purpose of this Policy is to ensure that the BIKEFLEET platform is used in a lawful, secure, and responsible manner.
Users must not use the Service in ways that:
- violate applicable laws or regulations
- harm other users or third parties
- compromise the security, stability, or integrity of the platform.
2. Lawful Use
Users may only use the Service for lawful purposes.
Users must not use the Service to:
- violate any applicable laws or regulations
- facilitate illegal activities
- distribute unlawful material.
Users are responsible for ensuring that their use of the Service complies with applicable local, national, and international laws.
3. Prohibited Content
Users must not upload, store, or transmit content that:
- infringes intellectual property rights
- violates privacy or data protection laws
- contains malicious software, viruses, or harmful code
- is fraudulent, deceptive, or misleading
- promotes illegal activities.
Users remain responsible for all content they upload to the Service. BIKEFLEET does not verify the legality, accuracy, or authenticity of user-submitted content.
4. Platform Security and Integrity
Users must not attempt to compromise the security or integrity of the Service.
Prohibited activities include:
- attempting unauthorized access to systems or Accounts
- probing or scanning for system vulnerabilities
- bypassing authentication or security controls
- interfering with or disrupting the Service or its infrastructure.
5. Automated Access and Data Extraction
Users must not access the Service using automated tools unless explicitly authorized by BIKEFLEET.
Prohibited activities include:
- scraping platform data
- automated harvesting of information
- use of bots, crawlers, or scripts designed to extract data from the Service.
Authorized integrations must comply with BIKEFLEET's technical and legal requirements.
6. Reverse Engineering
Users must not:
- reverse engineer
- decompile
- disassemble
- attempt to derive source code
from the Service, except where such activities are explicitly permitted by applicable law.
7. Misuse of Platform Features
Users must not misuse the Service in ways that disrupt normal platform operation.
Examples include:
- generating excessive system load
- abusing collaboration or messaging features
- manipulating platform functionality for unintended purposes.
8. Responsibility for Uploaded Data
Users are responsible for all data uploaded to the Service. Users must ensure that they have the necessary rights to upload any content, including:
- documents
- photographs
- maintenance records
- technical information.
BIKEFLEET does not verify the legality or ownership of uploaded content.
9. Third-Party Access
The Service may allow users to grant access to third parties such as:
- workshops
- technicians
- collaborators.
Users are responsible for managing access permissions and ensuring that third parties comply with this Policy.
BIKEFLEET is not responsible for actions taken by third parties who have been granted access by a user.
10. Enforcement
BIKEFLEET reserves the right to investigate violations of this Policy. If a violation is identified, BIKEFLEET may take appropriate action including:
- issuing warnings
- restricting platform functionality
- suspending Accounts
- terminating Accounts.
BIKEFLEET may also report unlawful activities to relevant authorities where required by law.
11. Reporting Violations
Users may report suspected violations of this Policy by contacting:

Reports will be reviewed and handled in accordance with applicable laws and internal procedures.
12. Changes to This Policy
BIKEFLEET may update this Acceptable Use Policy from time to time. Updated versions will be published within the Service or on the BIKEFLEET website. Continued use of the Service after changes constitutes acceptance of the updated Policy.
